Student and Postdoc Logistical Information

 

ICEBREAKER

The icebreaker reception is on July 13, starting at 5pm. Please arrive in time to attend the icebreaker.

 

The icebreaker will be located in Manzanita Village on the UC Santa Barbara campus.  It will be in Quad 3 in the Los Robles Area (see map). 

 

 

AIRFARE

As we mentioned in your acceptance letter, we prefer to book your airfare for you (in accordance with the limits mentioned in your letter). After you choose your flights (using a website like www.expedia.com, www.orbits.com, etc.), please email me your preferred itinerary, and I will work with our travel agents to try to book those flights for you. Please note, however, that any fees resulting from changing flights, times, etc. will be your responsibility. We have a deadline of April 25 if you would like us to book your airfare, so let us know as soon as you are ready to choose a flight. It may take us some time to book your flight, as we need to constantly check with our flight agents over fare fluctuations. Once we find a flight for you, we usually have to purchase it within 12- 24 hours (and I will always confirm the flight with you before purchase), so please look out for email from me confirming the flight!

 

TRAVEL REIMBURSEMENT*

If you prefer to book your own flight, you may do so at any time. Please be aware, though, that we will begin the travel reimbursement process after CIDER, and you should not expect your reimbursement for at least 4-8 weeks from the time you submit your reimbursement paperwork at the conclusion of your travel.

 

Closer to the beginning of CIDER, we will send you a form to fill out, which we will use to add you to our financial system. Once you are in the system, we can begin processing your reimbursement as soon as you submit your completed paperwork.

 

There will be a travel reimbursement worksheet in the packet you receive when you check in to CIDER. This will contain all the information you need to submit your travel reimbursement (and do not forget to save your receipts and copies of your boarding passes!).

 

*Please note that if we purchase your airfare, you will probably not need travel reimbursement, as CIDER is already covering the costs of your lodging and meals.

 

PARKING

Please let me know if you will be driving, and if you will need a parking permit.

 

ARRIVAL AND MEALS

CIDER participants are expected to arrive on July 13 to start the program. As Dr. Romanowicz mentioned in your acceptance letter, please plan to arrive before 5 pm so that you can attend the icebreaker. You will be staying on campus in student housing during CIDER. UC Santa Barbara personnel will be available all day Sunday, July 13 to check you in and give you your room keys and meal tickets, and I will be there to give you an information packet and brief orientation, and to answer any questions you might have upon your arrival. (I am also available by email and telephone from now through the end of the reimbursement process after CIDER - my contact information is below).

 

Most of the meals will be in the dining commons on campus (I will send you more specific information with dates and locations closer to the start of CIDER). The first meal served will be dinner Sunday, July 13 following the icebreaker. We will also be hosting catered dinners two evenings per week, some on-the- beach barbeques and possibly at other places on or near campus.  For more information about the check-in, click here.

 

Please let me know if you have any dietary restrictions (kosher, vegan, vegetarian, food allergies, etc.) so that we can plan safe foods for you.

 

DEPARTURE

For the CIDER participants staying three weeks, check out is Friday, August 1, and for those staying four weeks, the check out is Friday, August 8. Both breakfast and lunch will be served on both Fridays to give you more flexibility with your travels.
