Senior Participant and Instructor Logistics

 

AIRFARE

We are able to book your airfare for you. After you choose your flights (using a website like www.expedia.com, www.orbits.com, etc.), please email me your preferred itinerary, and I will work with our travel agents to try to book those flights for you. Please note, however, that any fees resulting from changing flights, times, etc. will be your responsibility. We have a deadline of April 30 if you would like us to book your airfare, so let us know as soon as you are ready to choose a flight. It may take us some time to book your flight, as we need to constantly check with our flight agents over fare fluctuations. Once we find a flight for you, we usually have to purchase it within 12 - 24 hours (and I will always confirm the flight with you before purchase), so please look out for email from me confirming the flight!

 

TRAVEL REIMBURSEMENT*

If you prefer to book your own flight, you may do so at any time. Please be aware, though, that we will begin the travel reimbursement process after CIDER, and you should not expect your reimbursement for at least 4-8 weeks from the time you submit your reimbursement paperwork at the conclusion of your travel.

 

Closer to the beginning of CIDER, we will send you a form to fill out, which we will use to add you to our financial system. Once you are in the system, we can begin processing your reimbursement as soon as you submit your completed paperwork.

 

There will be a travel reimbursement worksheet in the packet you receive when you check in to CIDER. This will contain all the information you need to submit your travel reimbursement (and do not forget to save your receipts and copies of your boarding passes!).

 

PARKING

Please let me know if you will be driving, and if you will need a parking permit.

 

ARRIVAL AND MEALS

Senior participants will be expected to join the students and postdocs for lunch Monday – Saturday in the dining commons on campus (I will send you more specific information with dates and locations closer to the start of CIDER). These shared meals can be an occasion for group socializing as well as exchanging scientific ideas and information. Meal tickets are $10 and will be available for purchase at the conference or at the dining commons by credit card only. CIDER will also be hosting special dinners two evenings per week, Tuesdays and Thursdays, some on-the- beach barbeques and possibly at other places on or near campus.

 

Please let me know if you have any dietary restrictions (kosher, vegan, vegetarian, food allergies, etc.) so that we can plan safe foods for you.

Rental Cars for Senior Participants

Rental cars for senior participants can be included in their per diem rate for reimbursement.

If you use a UCB negotiated rate, then you do not need to purchase the collision, loss damage, or liability insurance. If you are not renting through the UCB rate, the University's insurance does not cover you and if you purchase collision damage coverage, it is not reimbursable.
